Full society and administrative management including, but not limited to:

  • Society, Board and membership management

  • Internal and external communication

    • Board of Directors, Membership, public, government

    • Including Social Media

  • Financial Management

  • Monthly bookkeeping, AP/AR, accountant liaising as required,
    annual reporting and returns (federally & provincially), insurance

  • Meeting coordination, organization, planning and execution

    • Monthly, quarterly, annual

  • Website maintenance and management

    • Including minor page updates and editing, or liaising with web designer

  • Marketing, advertising and graphic design contracting

Membership and Database Management

Full membership and database management including, but not limited to:

  • Membership recruitment and engagement

  • Communications and marketing to members

    • Quarterly newsletters

  • Annual invoicing, follow up and collections

  • Database management

  • Regular maintenance of database with updates as required

  • Maintenance and reporting for online payment gateway

  • New member recruitment and application processing

  • Liaise with Executive Board regarding new membership
    approval and onboarding

  • Regular member check-ins and follow ups

  • Develop and maintain annual member recruitment marketing pieces

Event Management and Coordination

Full event management and staffing including, but not limited to:

  • Planning, coordination, organizing and execution

  • Venue sourcing and full liaising for any in-person events

  • RFP development, hotel/convention centre contact

  • Negotiation and securing of contracts

  • Speaker and attendee booking and coordination of travel

    • Scheduling transportation where required

  • Full contractor roster or sourcing including AV, photography, etc

  • Financial management and full event set-up in booking software

  • Implementation of Membee if not already in use

  • Scheduling and coordination of virtual events and webinars

  • Full marketing and advertising for all events

  • Annual event budgeting and liaising with Executive Board

  • Post-event follow up with members, speakers, invited guests

  • Surveys, CME evaluations (if required)

Financial Management and Administration

Full financial management including, but not limited to:

  • Membership dues, reporting and collections as required

  • Monthly AP/AR as required

  • Monthly bookkeeping

  • QBO and bank account management

  • Quarterly reporting to Treasurer and Executive Board

  • Yearend compilation and liaising with accounting firm for
    annual tax filing

  • Annual budgeting

    • Liaise with society President and Treasurer to develop and
      maintain budget

  • Event budgeting

    • Liaise with society President and Treasurer to develop and
      maintain budget

  • Investment management and liaising with financial account manager
